Time blocking works best when it begins with the calendar you already use. Meetings, appointments and travel are not distractions from the plan; they are the structure the plan must respect.
Separate commitments from flexible work
Fixed commitments have a specific time. Flexible work has a deadline or desired duration. Keep those two ideas separate so a task can move without accidentally moving an appointment.
Protect transitions
Add realistic travel and setup time before a commitment. A thirty-minute appointment across town is not a thirty-minute calendar event when movement is included.
Batch by action and location
Put desk work near calls, errands near other errands and outdoor tasks in the same part of the day. This “logistics for life” approach reduces friction.
Review instead of rebuilding
At the start and end of the day, sync the calendar, confirm changes and adjust only the blocks that need to move. The goal is a living plan that stays useful as the day changes.
